Please describe the problem or business challenge your company was trying to solve with Redbooth.
We are an online reputation management and Digital Branding agency. One of our primary services is crafting and placing content online to help our clients boost their Google page rank and SEO. Prior to Redbooth, one of our biggest challenges was organizing work flow between writers and assignments. We used email to communicate and send files, but things would often get missed. It made it difficult to track which pieces were complete and which were still in need of editing. Redbooth’s integration with Google Docs has made it exponentially easier to manage complex content placement projects. A common challenge with email was clients not remembering where they saved their edited files to send back to us. Redbooth has given us a way to share documents with everyone involved directly from the project; clients can leave editing notes or provide additional information from a central location without us having to follow a confusing digital trail. Everyone has access and everyone knows where in the pipeline each piece of the project is at any given moment.
Tell us about your search for a solution.
When we were initially looking for a work flow program, our main priorities were reliability, organization, and user-friendliness. We wanted an online service since we have offices and clients all over the world, but also needed to ensure it wasn’t full of glitches, bugs, and system downtime. Basically, we needed a centralized application so that everyone could work off the same sheet of music, so to speak. As for organization, our process before wasn’t quite as refined as we knew it could be. Redbooth solved that problem, ensuring that nothing slipped through the cracks. Having an easy-to-use system was also important since our clients and staff have varying levels of technical ability. We looked at different content management programs; Redbooth not only met all of our needs but didn’t require weeks of training for everyone to master. Our first experience with Redbooth was a free trial that our Senior Project Manager, Erin, played around with for a few weeks before introducing it to our staff. That was in January of 2014. We haven’t regretted it for a moment. Looking back, it’s unthinkable how we accomplished anything before adopting Redbooth. We no doubt wasted many unnecessary hours each week.
How did you make the decision to choose Redbooth?
Redbooth simply offered capabilities that helped us streamline our processes. Everyone loves having a central area where work is assigned, organized, and tracked. Plus, you can’t beat the customer service. Any time we have had questions about anything, customer service answered almost immediately. The very few minor issues we’ve encountered over the years have all been resolved with a single phone call.
What specific results and benefits were you able to achieve with Redbooth?
Dana, our Senior Content Writer, says Redbooth has saved her sanity more than once. Before using it, she had to manage content from her remote office. There was at least once when a power outage caused her to lose several hours of important work that hadn’t yet been sent over to Barb, our Chief Creative Officer and Editor. Now, assignments are linked to a shared Google account and uploaded to each specific Redbooth task as soon as they are complete. We don’t have to spend time matching documents to client projects — they are always right there. It’s a huge time-saver, which saves the company money. Erin has been able to streamline her project management process, and that is crucial since she manages the Operations Department of our business. Redbooth allows her to see, in real time, the status of each project. She doesn’t have to wait for updates and can intervene when she sees something has stalled. Redbooth’s built-in instant messaging is another invaluable feature. If we need to communicate, we can view who is online and get answers or share information without waiting on email or having to download messaging apps.

Our business relies heavily on Redbooth, now more than ever, as our client lists grows and our service offerings continue to expand. We’ve begun using Redbooth in every aspect of our daily operations as a way to collaborate between departments so that we can provide our clients a better experience from start to finish.
