Files in Workspaces

Another key part of collaboration in Redbooth is uploading and sharing files in workspaces. Every workspace has a designated section for files and all members of the workspace have access to them.

You can find the files section of your workspace by clicking on the folder icon across the top of the page:

Before uploading a file, keep in mind that you have two options – upload to the root folder, which anyone in the workspace has access to, or create specific folders. To create a new folder, just click on the New Folder tab.

Upload Files

  1. Select the workspace you want to upload a file to.
  2. Click on the Files tab.
  3. Click on the Add Files button to upload to the root folder, or select a specific folder and click Add Files.
  4. Select the file you wish to upload. There is a limit of 150MB per file.

Additionally, attachments you post to your conversations and tasks will also appear automatically in the Files section of the workspace.

File Storage and Limits

All Redbooth accounts, be they trials or paid subscriptions, can avail of unlimited file storage. This means that you can never upload too many files to your workspaces.

As for individual files, there is a 150MB limit per file so you may only upload files under 150MB.

Edit File Titles

If you have uploaded a file but need to edit its title, you can do this quickly. Just click on the file in question. On the right of the screen you will see a drop-down arrow. Click on it and select the Edit title option. Once you have finished, just click on save.

Note: You cannot edit a file in Redbooth, only its titles. If it does not live in any file storage provider (Box, Dropbox, etc), then you will have to download it. In the case of Google Drive, it is merely a hyperlink in Redbooth. That means that you can attach it to a task in Redbooth, open it from there, and edit it online in Google Drive. All changes you make will save directly to the file in Redbooth.

Download a File

From the same section seen above, you can also download a file that is stored in Redbooth. Just click on the green Download button. You can also click on the file itself and it will automatically download if it is an audio or video file.

Alternatively, you can click the Open in a new tab button and view the file fully. This only works for .jpeg, .png, or .pdf files.

Move a File

Perhaps you want to move a file to a different folder in the workspace. Click on the Move to… button from the drop-down and a new window will appear, and you can choose the new destination.

Alternatively, you can select the Move to… button in the bottom right and the same window will appear.

Delete a File

In the file section of the workspace, just select the file that you wish to delete. You have two ways of deleting it:

  • Click on the drop-down arrow and select Delete.

OR

  • Click on the X Remove button in the bottom right.

Files can only be deleted by the workspace admins, creator, and the user who uploaded the file to Redbooth.
